Webmaster’s Timeline

 

After Post-Conference Board meeting

 

Update email address aliases on mail admin module for any new or changing positions (eg. presidential cycle)

 

Update contact names on “Contact Us” pages  French and English

 

Add names of outgoing president and any directors coming off the Board to the past officials page (history.html)

 

Add Award winners’ names to website.

 

Check with Secretary for any address changes and to determine if any names need to be changed on the website.

 

Change or create any board member access required for new board members, remove access for old board members

 

If treasurer changes, update address on expense claim forms

 

update chapter president contact info if necessary

At the time of each eNews distribution

Add eNews to website and notify President to send a message out via CANMEDLIB

Summer

Make contact with webmaster for upcoming conference.  Set up ftp access to CHLA web site if they’ll be using it. 

 


After conference, send any documents to be archived to secretary (refer to Terms of Reference for the Management and Retention of CHLA/ABSC Archival Documents for documents requiring archiving)

 

Copy previous conference’s SPORG registration form and give admin access to the renamed copy to upcoming conference webmaster

 

Send archive of website to Secretary

September

  • Duplicate current years membership form on SPORG for next year as membership drive wills start in October.

 

  • Close previous years form to new registrations.
  • Post and remove interim and final conference reports to website as indicated above.
  • Link conference programme to location name of conference when the conference website is removed. Conference website is removed 3 years after the conference.

December

  • Update publication schedule for Journal

 

  • Change editor and assistant editor info on journal contact page, board contact page and email redirects.

 

  • Update history page with outgoing editor

 

  • Post Call for Nominations after email comes out.
