The CHLA/ABSC Board met on February 6 & 7 in Toronto.  It was, as usual, a very full and productive meeting.  Here are some highlights.

JOURNAL

The first issue of the new Journal of the Canadian Health Libraries Association / Journal de l'Association des bibliothèques de la santé du Canada (JCHLA/JABSC) will be published electronically in mid-March.  This will be a momentous occasion for the Association!  Please consider writing for JCHLA/JABSC.  Editor Karen Neves recently sent the following call to Canmedlib:

The Journal of the Canadian Health Libraries Association/Journal de l'Association des bibliothèques de la santé du Canada is actively seeking contributions of original research for publication.  The journal has recently moved completely into the electronic environment and production is now being done at NRC Research Press. The first issue of the new journal will be available online to members in mid-March. Please watch the CHLA/ABSC website for further details. 

If you have a research article, case report, news or anything else you'd like to see in the journal, please let us know. All submissions must be made electronically to the editor (editor@chla-absc.ca) and instructions for authors are available on the CHLA/ABSC website (http://www.chla-absc.ca/bmc/bmc.html).

The deadlines for the remaining issues of volume 25 are as follows:

  • 25(3) -- 1 June 2004
  • 25(4) -- 1 October 2004

This is your journal. We hope you'll continue to help us make it as interesting, informative and educational as possible by continuing to publish your work with us. As always, we look forward to your contributions.

Bibliotheca Medica Canadiana (BMC) has not been forgotten.  We are actively investigating possibilities for digitizing all issues of BMC and posting them on the Association web site.  If you have any thoughts on how we can achieve this (it's largely a matter of labour), please let me know.

ON THE EDGE

The 2004 conference in St. John's is fast approaching.  The preliminary program is on the conference web site: http://www.med.mun.ca/chla2004/.  Congratulations to conference chair George Beckett and his team for creating a wonderful program!  We hope to see lots of familiar and new faces at the conference in May.  Apart from the excellent professional development opportunities at the conference, there are also some great social activities planned. You won't want to miss the banquet and dinner theatre, along with the presentation of awards and honours to esteemed colleagues.

APPLY FOR CE FUNDING

While we can't provide funding for conference attendance per se (we're seeking corporate sponsorship for this purpose), there is funding available to CHLA/ABSC members to attend continuing education courses at the conference, via the Professional Development Grant.  For details on the criteria and how to apply, see:  http://www.chla-absc.ca/awards/profdev.html  You need to get your application in at least 6 weeks prior to the conference, so don't delay.   And remember, this grant is available for other CE events - not just those held at the annual conference.

We have additional funding available this year thanks to the generosity of Betty Sutherland of Dalhousie University and MD Consult.  Betty was the recipient of an MD Consult award to attend last year's CHLA/ABSC conference in Edmonton.  She had already purchased her airline ticket, though, and asked that MD Consult donate the equivalent to CHLA/ABSC to help fund information professionals in the Atlantic provinces to attend CE at the 2004 conference. MD Consult agreed, and so there is an additional $795 in the fund earmarked for members from the Atlantic provinces. Many thanks Betty, for thinking of this and making it a reality! 

BRIEFLY - BOARD ACTIVITIES

The Board is hard at work with many and varies activities on behalf of CHLA/ABSC members and chapters.  This is but a sampling: 

• CE Coordinator Judy Inglis has sent out her survey to determine current needs and preferences for professional development opportunities. She is now analyzing the data and reporting her findings. 

• PR Director Tim Tripp is busy working on web hosting options for CHLA/ABSC chapters, preparing promotional materials, and acting as webmaster.

• Vice President/President Elect Penny Logan is co-chairing a task force examining the use of volunteers in health libraries http://www.chla-absc.ca/task/volunteers.html and is working on the establishment of interest groups within CHLA/ABSC.

• Past President Cathy Rayment has been active chairing the nominations committee and receiving nominations for CHLA/ABSC awards and honours, and is working with several other Board members on strategies for sponsorship and advertising.

• Secretary Linda Slater is updating both the Executive Manual and the Conference Planning Manual.  A mammoth task!

• Treasurer Caren Mofford is keeping tabs on the Association's finances, and managing the membership year changeover (see below)

CHAPTER INITIATIVES FUND

The Board has approved what must be a record number of applications to the Chapter Initiatives Fund in the past year.  For details on the initiatives that received funding, see the web site at: http://www.chla-absc.ca/awards/cig.html   If your chapter has a project it would like to be considered, the deadline for submissions for the pre-conference Board meeting is April 14.

BYLAWS

The Board has spent quite some time in recent months reviewing the Association's by-laws, and will be bringing a number of amendments to the AGM in St. John's. Watch for a separate email about those suggested changes.

MEMBERSHIP DRIVE

Just a reminder of CHLA/ABSC's membership drive. New members (defined as anyone who has not been a member during the past 5 years) can join for the calendar year 2004 for only $40. This offer will end March 31, so don't delay! As an added incentive, any new member who joins by March 31 will be entitled to the member registration rate at this year's conference in wonderful St. John's.  Details on how to join are on our web site: http://www.chla-absc.ca The conference web site is at: http://www.med.mun.ca/chla2004/

COMMUNICATION WITH MEMBERS

Now that the Association is relying extensively on email communication, it's vital that members keep the office informed of any changes to their contact information, particularly email addresses.  Notification of important events, E-news, membership renewals and calls for nominations, are all being distributed exclusively via email.  So be sure you don't miss out.  Either call or email the Association office with changes as they happen.  They can be reached at info@chla-absc.ca or 416.646.1600.

MEMBER DIRECTORY

The membership directory will soon be available online.  Tim Tripp is working with the folks at AssociationsFirst to make this a reality.  Once it's up and running, members will be able to update their own records.  The directory will reside in the members only section of the web site, which will be unveiled in March.  Access to JCHLA/JABSC will be through the members only section.

MEMBERSHIP RENEWALS FOR 2004

Finally, as previously announced, the Association is changing its membership year to a calendar year cycle, replacing the current June 1 - May 31 cycle.  Current members will be asked this year to renew their membership for a year and a half.  The renewals will be sent out for June 1 as usual, but renewals will run through December 31, 2005.  For regular members, the one time renewal cost will be $120.00 - one and a half times the usual $80.00 fee.  Similarly, all other categories of membership except sustaining will be renewed at one and a half times their regular fees.
